Route Rite Legend Service Routing and Billing Software was originally designed, in
1991 for Pest Control and Lawn Care to keep track of Customer History with re-
occurring service instructions, route management with on screen geographic view of
jobs waiting, current and pre-arranged routine service stops, Accounts Receivable
with Integrated, Automatic Billing specialized for any of several services and
products, for all service addresses billed to one customer. This is all in one service
management software that will assist you in movement of your trucks, routes &
customers with choices of Service Slips with Invoices, Statements, Renewal Notices
and reporting. Some States have special reporting included California Agriculture
Report and NYDEC Report, for material used, other states use our standard materials
and products used and needed reporting.

Route Service Billing Software Summary Overview
The Route Rite Customer History portion will keep track of each customer, whether a
service or billing customer. If it is the billing customer, then it tracks any and all addresses that are
billed to this customer. This is complete with the address information type of customer, source of
the customer, directions with a map to the customer, services to be performed and that have been
performed to all addresses pertinent to the customer. Additionally our software contains complete
financial information for the customer including current balance, current cash on account,
statements, both automatic and manual invoices, complete transaction history, terms of payment,
tax and tax exempt statuses, whether the customer is to get printed invoices after the job, last
statement dates and amounts. The customer can be billed at the time of service through the service
ticket and or by invoice based on pre or post billing for fixed amounts. For monthly, quarterly, semi
annual and annual preset billings the software allows you to give it the initial billing date the amount
to be billed and the last billing date (if for example the customer is on an annual contract). The
software also keeps track of product sales to this customer and will automatically bill for products
sold or to be sold. It also keeps track of the materials used as a part of the job. This portion also
allows for the saving of a Floor or Yard Plan Diagram(s) of each address of the customer. You may
use any diagramming package that you want or the integrated link to "SmartDraw"tm by
SmartDraw.com for more elaborate diagramming.
The service billing Routing & Scheduling portion, which is fully integrated, uses the
zip code, map grid, sequence code or customized area denotations to know where this customer is
located and in relation to your other stops. With this it can tell you the order that your customers
ought to be scheduled to move the truck with the least amount of distance between stops. Each
customer has service(s) setup with the initial date, the last date and it calculates the projected next
date based on the frequency of the service performed. It can either remind you that the service is
due or automatically schedule the service for a particular day of the week, month, quarter, year or
any pre packaged amount of days. When the service is automatically scheduled, all you need to do
is print the service ticket and or route summary and give them to the route people. If this customer
does not have a set day or you want to manually schedule them from the to be scheduled list, the
software will list them along with all of the customers that are due and waiting for your manual
scheduling in an "On Screen To Be Scheduled Window", allowing you to select the customer. When
you click the customer, the software will show you "On Screen" the other jobs that are in the same
zip code, map grid, sequence or customized area. Now you just click them into the geographically
pleasing open slot, with enough time available, you prefer. If you want to move a job or multiple jobs
from one day or one schedule to another you just highlight them and click the move button. Now
place them wherever you would like with enough time. The software will always tell you the
productive hours and dollars on any day for any route person. You may view the service detail on the
screen and print the service ticket either one at a time or in a large batch either for the day or for the
month. Once the work is completed, the software allows you to automatically mark the completion of
the whole batch of jobs by most any time period starting from day or individually manual verify their
completion. The manual verify allows you to change the completion status of the work so that you
may add the materials used or sold and update the time in and time out or change the route person
that did the work or indicate a payment received etc… From here the software automatically
creates the invoice or bill to the customers account in the Accounts Receivable. There is a host of
Routing reports that behave like a report generator in that you may select different criteria,
pertaining to your customers, that will dictate which customers appear in the report or of course all
of your customers. The software will keep track and report on your customers that have missed their
services and allow you to reschedule them.
The Route Rite Accounts Receivable manages the billing and monies owed. It also
tracks the overpayment or payment in advance and keeps running totals of the credit balance. If
your customer pays in advance the software can generate a zero charge service slip and still bill the
customer, based or your pre determined setup, the agreed to billing. The software will allow you to
print and invoice either automatically or manually to be mailed to your customer, in a #10 window
envelope. The software will also print an aged Statement for mailing on your demand for an
individual customer or for most any combination of those that owe you money. This Accounts
Receivable handles both services and products sold. When you receive money or payments the
software allows you to apply the payment to any open invoice or to cash on account (credit balance)
for all work you do for the customer or for only specific services. Once an invoice is paid off it is
shown as paid. Credit Balances that are to be used only for specific services are only allowed to be
applied to that specific service, to eliminate posting mistakes. You can do their service weekly but
bill them monthly either pre or post service. There is a host of reports including, detailed aging,
invoice listings, sales reporting, receipts report, transaction listings, sales tax reports etc… that will
give you the details you need to manage your receivables.
Employee Messaging is included to keep track of messages left for your employees and track the
status of those messages through resolution. When the employee comes in just print them a listing
of their messages for follow-up. This includes reports of messages by employee.
The Route Rite route service Inventory will track product for sale, material for use as a
part of the job or equipment stored at your office or at the customer’s place. This inventory is
tracked in the office, on the vehicle and at your customer’s location. Most all of the detail of the
inventory is kept from the manufacturer, and epa or serial number, to the cost and sales price (sales
price can be different for each customer), whether taxable or not and whether you desire the piece
to have quantities on hand and suggested reorder tracked. You can receive the product into the
main office inventory and disperse it to the truck or customer, therefore track inventory levels at
multiple locations. Track methods of use and locations used of materials on the job. Inventory lists
are available to be attached to any job and the price adjusted for that specific customer. Reports
include Usage, reorder, and application with location reports.
In Route Rite Security you may assign a Username and Password to each employee that
will use the software. You will be allowed to give them certain rights of usage or viewing.
The truck service billing Accounting Link is designed to export Invoice Sales Totals for Service,
Product and Sales Taxes on a Cash or Accrual Basis into QuickBooks Accounts. Therefore these
things can be considered in your Profit and Loss Reports.
